7 INSTRUCTIONS FOR USING OLD PROPOSALS/DOCUMENTS .
13
1̲ ̲ ̲S̲C̲O̲P̲E̲
The scope of this document is to provide a layout recipe
for proposals, making it possible to present all proposals
with a standardized appearance. Further it is the purpose
to make the writer understand how the word processing
system is functioning.
2̲ ̲ ̲F̲O̲R̲M̲ ̲S̲H̲E̲E̲T̲
Normally - if nothing special requested by the customer
- the proposal will be written out on page 2 paper
with our mark in the top left corner.
2.1 H̲E̲A̲D̲I̲N̲G̲
a) The heading shall contain the title (abbreviation)
of the proposal, written in capitals and with the
normal Courier 10 (WANG SYSTEM).
b) After the title will follow space hyphen space
and part no. also in capitals.
c) When you type this on the WANG the cursor will
be all to the left.
d) On the same line, but on position 56 you write
SYS/ and the date f. ex. SYS/84-01-16 (year/month/date).
e) Then two times return and again all to the left
the name of the part of the proposal f. ex. MANAGEMENT
PROPOSAL, written in capitals.
f) Again on the same line position 56 you write page,
and if the proposal is a small one use the automatic
number system, or if it is a big one just make
space for number stamping.
g) Before writing the heading you must have 4 return,
to make sure you will be free of the CR mark.
h) After writing the heading then again 4 return (before
start of text on each page).

SACLANT PART I SYS/84-01-16
MANAGEMENT PROPOSAL Page
2.2 L̲I̲N̲E̲S̲
The length of the lines shall normally be 68.
2.3 P̲R̲I̲N̲T̲ ̲O̲U̲T̲
When you print out your proposals left margin shall
be on 6, then the text (if the printers are trimmed
well) will be exactly below the CR-mark.
3̲ ̲ ̲P̲A̲R̲T̲I̲T̲I̲O̲N̲S̲
3.1 D̲E̲F̲I̲N̲I̲T̲I̲O̲N̲
The proposal shall be partitioned in a way logically
consistent with the IFB
Thus document content of same level of significance
shall be written in the same partition level.
Four levels of partitions are defined:
- chapters
- sections
- subsections
- paragraphs
3.1.1 C̲h̲a̲p̲t̲e̲r̲s̲
Chapters are the top level of partitioning. They are
consecutively numbered with an integer.
3.1.2 S̲e̲c̲t̲i̲o̲n̲s̲
Chapters may be devided into sections. Sections are
numbered with the chapter number, a period, and a consecutive
integer numbering within each chapter.
3.1.3 S̲u̲b̲-̲s̲e̲c̲t̲i̲o̲n̲s̲
Sections may be divided into sub-sections. Sub-sections
are numbered with the section number, a period, and
a consecutive integer numbering within each section.
3.1.4 P̲a̲r̲a̲g̲r̲a̲p̲h̲s̲
Sub-sections may be divided into paragraphs. Paragraphs
are numbered with the sub-section number, a period,
and a consecutive integer numbering within each sub-section.
3.1.5 F̲u̲r̲t̲h̲e̲r̲ ̲P̲a̲r̲t̲i̲t̲i̲o̲n̲i̲n̲g̲
Further partitioning may seem adequate under certain
conditions.
3.2 T̲Y̲P̲I̲N̲G̲
The standard for typing is the same used for documentation
which have been typed in the SYSTEMS DIVISION. e.i.
a) Chapter: Centralized with capital letters, four
return before the text.
b) Sections: The number in the left margin, the section
name on tab 12 with capital letters, two return
before the text.
c) Sub-sections: The number in the left margin, the
sub-section on tab 12 with the first letter in
each word with capital the rest with small letters,
two return to the text.
d) Paragraphs: The same as for sub-sections.
e) From the end of a paragraph to the start of one
of above always four return.
f) Chapters normally start on a new page.
If you find the chapter too small to be on a page
by itself, there shall be 8 return to the next
chapter.
g) Normal Line spacing shall be 1 line.
h) All headers shall be underlined.
i) Please note if the chapter no. is so long that
you are passing tabulator 12, then just use the
space-character.

4.1 M̲A̲I̲N̲ ̲T̲A̲B̲L̲E̲ ̲O̲F̲ ̲C̲O̲N̲T̲E̲N̲T̲S̲
There shall always be a table of contents for each
part of the proposal. The main table of contents will
also include the page numbers.
4.1.1 C̲h̲a̲p̲t̲e̲r̲ ̲T̲a̲b̲l̲e̲ ̲o̲f̲ ̲C̲o̲n̲t̲e̲n̲t̲s̲
If it is a heavy proposal a table of contents including
a certain chapter/section/sub-section/paragraph will
be adviseable. This table of contents does not necessarily
need to have page-numbering.
When typing the table of contents the normal standard
is to be used. (Use the programmed table of contents).
a) Left Margin 6 for chapters and then a tab on 8
- 10 - 12 - 14 and so on (WANG-system).
b) The intiger on tab 6 a tab and the text, one space
and periods till 56 5 blank (for the page-number)
and one return; but all this you can do automatically
when using the program for table of contents (see
note from VHN).
c) The system for the table of contents is that you
have the same number of tabs before the ciffer.
d) Chapters will always have an extra return, standing
on a line for itself.

5̲ ̲ ̲P̲A̲G̲E̲ ̲N̲U̲M̲B̲E̲R̲I̲N̲G̲
Each part will be numbered. If there is a front page
without a header, the first page of the table of contents
will be page 2.
Normally a proposal will consist of a Management Proposal,
Technical proposal, Contractual/Price proposal, which
means you will have 3 - 4 parts, but not necessarily
3 - 4 volumes. The volumes are only connected to the
number of binders you use for a proposal.
6̲ ̲ ̲D̲R̲A̲W̲I̲N̲G̲S̲
To make sure where to find a certain drawing, you make
an empty page where to put the drawing when finished.
On line 48 you centre the figure no. (capital letters)
one return centre the name of the drawing with capital
letters.

FIGURE 2.1-1…01…TDX-BUS
6.1 F̲I̲G̲U̲R̲E̲ ̲N̲U̲M̲B̲E̲R̲
The number of the figure is the same as for the chapter/section/subsection/paragraph
in where the drawings is situated, just with a hyphen
and no. 1 - 2 - 3 and so on.
6.2 D̲R̲A̲W̲I̲N̲G̲S̲ ̲T̲O̲ ̲D̲R̲A̲W̲I̲N̲G̲S̲ ̲R̲O̲O̲M̲
Normally a book-captain is chosen for a project; he
will then be the person in charge for all the drawings
coming in and out of the drawing room.
The secratariet which is in charge for a certain proposal
can also take care of the drawings; but no matter what
you choose, make sure that one person always is in
charge of the drawings.
7̲ ̲ ̲I̲N̲S̲T̲R̲U̲C̲T̲I̲O̲N̲S̲ ̲F̲O̲R̲ ̲U̲S̲I̲N̲G̲ ̲O̲L̲D̲ ̲P̲R̲O̲P̲O̲S̲A̲L̲S̲/̲D̲O̲C̲U̲M̲E̲N̲T̲S̲
To be able to reach the most co-operation between the
writer and the secretary the following instructions
shall be followed:
a) When you deliver a part of a proposal for typing
make sure you have the correct reference to the
table of contents - headings and so on.
b) If you use already existing documentation don't
cut out, deliver the total pages, so the secretary
is able to find the original document.
c) Corrections in existing documents, shall be made
with red.
d) If you use a big portion of an old document, then
deliver the total document, and if there are pages
not to be used, then make a deletion of the page.
