d) S̲i̲t̲e̲ ̲P̲r̲e̲p̲a̲r̲a̲t̲i̲o̲n̲
The parties to this contract recognize that at
some NATO installations the facilities, as they
exist on the site survey date, may not be accurately
depicted in any available as-built drawings. In
recognition of these facts, the joint efforts described
below, (i.e. contractor's site surveys and drawing/specification
preparations ((Civil Works Requirements, As-To-Be-Built
Drawings, and As-Built Drawings)), and SHAPE's
submittal of additional information) are intended
to ensure that current and accurate documentation
is delivered to SHAPE at or before the time of
final acceptance.This objective is best served
through an intensive effort, by both parties, to
work carefully together. To that end, the parties
undertake as follows:
SHAPE will:
1) Prior to and during contractor site surveys, determine
the full extent of available documentation/specifications
and will insure that such documentation, when it
exists, is furnished to the Contractor. Data not
available at time of site survey will be supplied
by SHAPE after Site Survey if agreed upon in the
Minutes of Meetings of Site Surveys. When such
Minutes provide for SHAPE's subsequent provision
of documentation to CR, the Minutes will indicate
the nature and extent of the documentation to be
provided. The level of detail of the documentation
to be provided will be at least that NATO type
B cost estimate documentation.
2) When, as a result of facilities modifications made
during or after a Contractor Site Survey, the contractor's
Site Survey baseline is rendered inaccurate, SHAPE
will without being requested by contractor furnish
drawings/specifications of the facilities changes
to the Contractor. Such post Site-Survey facility
changes will be communicated to the Contractor
no later than 3 months before submission of As-TO-BE-BUILT
Drawings and will be provided in a level of detail
at least square to that of NATO type B cost estimate
documentation.
Contractor will:
1) Undertake to produce the required documentation
(Civil Works Requirements, As-To-Be-Built Drawings,
and As-Built Drawings) based upon the information
supplied (per (1)+(2) above and upon his own
survey.
The parties recognize,that the accuracy and completeness
of the contractor's Civil Works Requirements, As-To-Be-Built
Drawing and As-Built Drawings will be a function of
the following factors:
(a) The contractor's access to the appropriate
facility areas during his Site Survey, and
(b) The diligence with which the contractor uses
his facility access to record information,
and
(c) The accuracy and completeness of such data
as is provided by SHAPE in accordance with
subparagraphs (1) and (2) above..
(2) Contractor agrees that when post-survey facilities
changes are communicated to him at any time
prior to 3 months before submission of A-T-B-B-D
these modifications will be reflected in the
As-To-Be-Build Drawings, and the As-Built Drawings.
