1.1 S̲C̲O̲P̲E̲
This standard is a derivative of Configuration Management
Standard Manual SD/STM/006 and has the same scope and
ap- plicability.
1.2 P̲U̲R̲P̲O̲S̲E̲
The purpose of the standard is to provide a layout
recipe for documents, making it possible to present
all docu- ments with a standardized appearance.
This layout will also enhance readability of the document.
The standard is not applicable to notes, reports, etc.
intended only for internal use within a project.
2 F̲O̲R̲M̲ ̲S̲H̲E̲E̲T̲S̲
All documents shall be written using the authorized
form sheets shown in Appendix A.
2.1 F̲R̲O̲N̲T̲ ̲P̲A̲G̲E̲
This page shall contain the information necessary to
i- dentify the document and its official status.
The fields of the front page shall be used as follows
(see Appendix A page 1 for lettering).
a) T̲i̲t̲l̲e̲ ̲
shall contain the title of the document written
in capitals and with Orator type-head if available.
Title must show in the window of covers used for
cer- tain documents.
b) D̲o̲c̲u̲m̲e̲n̲t̲ ̲N̲u̲m̲b̲e̲r̲
shall contain a document identifier allocated in
ac- cordance with SD/STD/001.
c) O̲r̲i̲g̲i̲n̲a̲t̲o̲r̲
shall contain the name and signature of the origina-
tor of the document.
d) A̲u̲t̲h̲o̲r̲i̲z̲a̲t̲i̲o̲n̲
shall contain the name and signature of the person
in charge of the area to which the document applies.
e) D̲i̲s̲t̲r̲i̲b̲u̲t̲i̲o̲n̲
shall contain a list of initials designating persons
to receive the document.
This constitutes the official distribution list
for the document.
f) I̲s̲s̲u̲e̲
shall contain the issue number for the document.
g) D̲a̲t̲e̲
shall contain the date of issue.
2.1.1 A̲p̲p̲r̲o̲v̲a̲l
If a document is calling for approval by one or more
per- sons these persons use fields (h), (i) and (j)
to desig- nate their approval. The fields are used
as follows:
h) An abbreviation designating the authority of the
per- son (e.g. QA).
i) Date of approval.
j) Signature.
2.2 R̲E̲V̲I̲S̲I̲O̲N̲ ̲R̲E̲C̲O̲R̲D̲
The change status of a document shall be recorded on
re- vision record sheets as Appendix A, page 2.
Each change to a document requires an updated revision
record showing in detail which parts of the document
were changed.
2.2.1 R̲e̲v̲i̲s̲i̲o̲n̲ ̲R̲e̲c̲o̲r̲d̲ ̲S̲h̲e̲e̲t̲
The fields of the sheet shall all be filled in as follows
(letters refer to letters on Appendix A, page 2).
a) change No.
b) date of change
c) reference to DCO (Document Change Order) et.al
au- thorizing the change
d) listing of all pages affected by the change
e) description of change.
2.3 T̲E̲X̲T̲ ̲S̲H̲E̲E̲T̲S̲
2.3.1 U̲s̲e̲ ̲o̲f̲ ̲T̲e̲x̲t̲ ̲S̲h̲e̲e̲t̲s̲
The content of the document shall be written on text
sheets as Appendix A, page 3.
2.3.2 M̲a̲r̲g̲i̲n̲
All text shall be written within the margins indicated
below.
a) top : approx. 20 mm 5 blank lines
b) bottom : approx. 15 mm max. 50 lines
per page.
c) left : approx. 30 mm start of char.

d) right : approx. 15 mm max. 68 char.
per line.
These measures shall be the minimum size of margins.
2.3.3 H̲e̲a̲d̲e̲r̲ ̲F̲i̲e̲l̲d̲s̲
The header shall be filled in on all text sheets (refer
to Appendix A, page 3 for letters).
a) document title
b) document number
c) initials of originator succeeded by a slash and
the date in format yymmdd (XXX/800612) (Originator
is op- tional).
d) Page Number
e) Issue number and change number separated by a dot.
f) Project acronym if document is connected to a project.
2.4 N̲A̲T̲O̲ ̲P̲A̲R̲T̲I̲C̲U̲L̲A̲R̲
On all documents particularly produced for NATO the
NATO classification shall be typed in capitals centered
on top and bottom of each page throughout the entire
document.
All pages of a document must bear the same classifica-
tion. Though, an appendix may bear a lower classifica-
tion than the main document.
3 P̲A̲R̲T̲I̲T̲I̲O̲N̲S̲
3.1 D̲E̲F̲I̲N̲I̲T̲I̲O̲N̲ ̲
Documents shall be partitioned in a way logically consis-
tent with the content.
Thus document content of same level of significance
shall be written in the same partition level.
There is no limit to the number of partitions within
each level.
Four levels of partitions are defined:
- chapters
- sections
- sub-sections
- paragraphs
3.1.1 C̲h̲a̲p̲t̲e̲r̲s̲
Chapters are the top level of partitioning. They are
consecutively numbered with an integer.
3.1.2 S̲e̲c̲t̲i̲o̲n̲s̲
Chapters may be divided into sections. Sections are
num- bered with the chapter number, a period, and a
consecu- tive integer numbering within each chapter.
3.1.3 S̲u̲b̲-̲s̲e̲c̲t̲i̲o̲n̲s̲
Sections may be divided into sub-sections. Sub-sections
are numbered with the section number, a period, and
a consecutive integer numbering within each section.
3.1.4 P̲a̲r̲a̲g̲r̲a̲p̲h̲s̲
Sub-sections may be divided into paragraphs. Paragraphs
are numbered with the sub-section number, a period,
and a consecutive integer numbering within each sub-section.
3.1.5 F̲u̲r̲t̲h̲e̲r̲ ̲P̲a̲r̲t̲i̲t̲i̲o̲n̲i̲n̲g̲
Further partitioning may seem adequate under certain
con- ditions, for instance when the text:
a) contains a list of items
b) states a number of actions, situations, etc.
c) is divided into a number of sentences which it
may be advantageous to distinguish separately.
In such situations the items etc. shall be numbered
by lower case letters. (An example is shown in this
sub- section).
Reference can be made to a such item etc. by adding
the appropriate letter to the index number of the text
entity in which the item etc. is placed.
If a such lower case letter numbered sentence contains
a list of items those items shall be numbered with
inte- gers. Reference can then be made by adding the
item number to the letter without separation.

Small documents, i.e. documents with average chapter
size originally not exceeding 12 pages, may be page
numbered consecutively with front page as page 1, revision
record as page 2 and so on.
3.2.2 M̲e̲d̲i̲u̲m̲ ̲S̲i̲z̲e̲ ̲T̲h̲r̲o̲u̲g̲h̲ ̲L̲a̲r̲g̲e̲ ̲D̲o̲c̲u̲m̲e̲n̲t̲s̲
Documents with average chapter size originally exceeding
12 pages shall be page numbered according to the follow-
ing rules:
3.2.2.1 A̲u̲x̲i̲l̲i̲a̲r̲y̲ ̲P̲a̲g̲e̲s̲
Auxiliary pages, i.e. front page, revision records,
and table of contents, are numbered by roman numerals
written as lower case letters
i, ii, iii, iv, etc.
3.2.2.2 O̲r̲d̲i̲n̲a̲r̲y̲ ̲T̲e̲x̲t̲ ̲P̲a̲g̲e̲s̲
Page numbers of ordinary text pages are divided in
two parts separated by a dash.
To the left of the dash is used the chapter number.
Within each chapter the pages are numbered consecutively
with an integer to the right of the dash.
3.2.3 A̲m̲e̲n̲d̲m̲e̲n̲t̲s̲
a) When a document is revised resulting in an increase
in the number of pages, that cannot be added to
the end of a chapter (or the entire document in
case of small documents) new pages shall be inserted
in their proper place and numbered by lower case
letters in addition to the number of the preceding
page.
If, for instance, 2 new pages shall be added between
pages 7 and 8, the resulting numbering shall be:
original page 7 new page 7a
first additional page - 7b
second additional page - 7c
b) When a document is revised resulting in a decrease
in the number of pages that cannot be removed from
the end of a chapter (or the entire document in
case of small documents) a page shall be inserted
with the original page number and the following
text in the middle of the page:

If several consecutive pages are removed, one page
may be used to serve this purpose, numbered with
the first and last page number of the removed pages.
The above instructions for amendments of page number-
ing apply to revisions carried out by distributing
only a number of the pages of which a document
exists. When a document is thoroughly revised
and distributed as a completely new issue, the
page num- bering shall be completely revised in
accordance with the rules put down in sub-section
3.2.1 and 3.2.2.
3.2.4 R̲e̲f̲e̲r̲e̲n̲c̲e̲s̲
As a consequence of the amendment rules laid down in
sub- section. 3.2.3 any reference to a page number
shall be avoided within a document or between documents.
(One deviation is that revision record and table of
con- tents refer to the page numbers).
Reference to a certain part of text thus must be done
by chapter, section, etc. number.
Hence, if a text entity should be omitted, its index
num- ber should be retained and the text replaced by
"This chapter (section,....) omitted by revision No.
X of (date)".
3.2.5 N̲A̲T̲O̲ ̲P̲a̲r̲t̲i̲c̲u̲l̲a̲r̲
On documents particularly produced for NATO the page
num- ber shall be placed centered in the bottom of
each page. This may be done solely or in addition
to the standard page numbering in the page heading.
3.3 A̲P̲P̲E̲N̲D̲I̲C̲E̲S̲
3.3.1 L̲e̲v̲e̲l̲
An appendix is considered to be at the same level as
a chapter and the chapter rules for headers, spacing
etc applies.
3.3.2 D̲e̲s̲i̲g̲n̲a̲t̲o̲r̲
Appendices shall be given a capital letter as designator.
This letter is written in front of all indices, page
num- bers, and Table/Figure numbers in the appendix.
4̲ ̲ ̲S̲P̲A̲C̲I̲N̲G̲ ̲A̲N̲D̲ ̲H̲E̲A̲D̲E̲R̲S̲
4.1 S̲P̲A̲C̲I̲N̲G̲
4.1.1 L̲i̲n̲e̲ ̲S̲p̲a̲c̲i̲n̲g̲
Normal Line spacing shall be 1 line.
4.1.2 S̲e̲p̲a̲r̲a̲t̲i̲o̲n̲ ̲o̲f̲ ̲P̲a̲r̲t̲i̲t̲i̲o̲n̲s̲
4.1.2.1 C̲h̲a̲p̲t̲e̲r̲
a) Small documents (see 3.2.1)
Chapters shall normally start at the top of a page.
If a chapter ends high on a page a new chapter
may start on the same page after 10 blank lines,
provided at least 10 lines of the new chapter are
accomodated on that page.
b) Medium size through large documents (see 3.2.2).
Chapter shall always start on a new page.
4.1.2.2 S̲e̲c̲t̲i̲o̲n̲s̲
4 blank lines shall separate the end of a section from
the header of the next.
4.1.2.3 S̲u̲b̲-̲s̲e̲c̲t̲i̲o̲n̲s̲ ̲a̲n̲d̲ ̲P̲a̲r̲a̲g̲r̲a̲p̲h̲s̲
2 blank lines shall separate the end of a sub-section
or paragraph from the heading of the next.
4.2 H̲E̲A̲D̲I̲N̲G̲S̲
4.2.1 C̲h̲a̲p̲t̲e̲r̲ ̲H̲e̲a̲d̲i̲n̲g̲s̲
Chapter headings shall be written in capital letters
pre- ceded by the chapter number. Chapter headings
shall be centered over the text.

Sub-section and paragraph-headers shall be written
with all words starting with capitals, except internal
con- junctions, prepositions, and articles. (words
like "and", "or", "in", "of", "the"), and aligned with
the left margin.
4.2.4 U̲n̲d̲e̲r̲l̲i̲n̲i̲n̲g̲
All headers shall be underlined.
4.2.5 H̲e̲a̲d̲e̲r̲ ̲S̲p̲a̲c̲i̲n̲g̲ ̲
1 blank line shall separate the heading from the first
line of its associated text.
5̲ ̲ ̲T̲A̲B̲L̲E̲ ̲O̲F̲ ̲C̲O̲N̲T̲E̲N̲T̲S̲
5.1 C̲O̲N̲T̲E̲N̲T̲
The table of contents shall contain all headers from
the document preceded by their indicies. All entries
shall be written with same characters as in text.
5.2 L̲A̲Y̲O̲U̲T̲
Chapter headings shall be aligned with left margin
and be preceeded and succeeded by one blank line. All
other en- tries shall be written without underlining
and indented two character positions for each index
level.
5.3 P̲A̲G̲E̲ ̲A̲N̲D̲ ̲N̲U̲M̲B̲E̲R̲S̲
For each entry shall be given the page where the text
starts. For chapters are also given the page number
of the last page of the chapter.
