1̲ ̲ ̲P̲U̲R̲P̲O̲S̲E̲
The purpose with this procedure is to define the tasks
for the subcontractor/supplier coordinator. The scope
is to have only one coordinating point of contact to
each subcontract/supplier for a project.
2̲ ̲ ̲I̲N̲S̲T̲R̲U̲C̲T̲I̲O̲N̲S̲ ̲F̲O̲R̲ ̲T̲H̲E̲ ̲P̲R̲O̲J̲E̲C̲T̲ ̲M̲A̲N̲A̲G̲E̲R̲
2.1 The project manager has the superior responsibility
for all contracts and all other purchase orders necessary
to accomplish the project.
2.2 The project manager is subcontract coordinator, unless
the coordinator-function is delegated to another person
as defined in the annex.
2.3 Only the project manager's signature binds the company
against the subcontractor or supplier. It means that
all contracts, order agreements, amendments, letters,
telexes, invoices etc. shall be signed by the project
manager and only by him.
3̲ ̲ ̲I̲N̲S̲T̲R̲U̲C̲T̲I̲O̲N̲S̲ ̲F̲O̲R̲ ̲T̲H̲E̲ ̲S̲U̲B̲C̲O̲N̲T̲R̲A̲C̲T̲ ̲C̲O̲O̲R̲D̲I̲N̲A̲T̲O̲R̲
3.1 O̲R̲G̲A̲N̲I̲Z̲A̲T̲I̲O̲N̲
3.1.1 Only one coordinator is appointed to a given subcontractor/supplier.
The names of the coordinators are defined in the annex.
3.1.2 If a new coordinator is appointed all filed material
shall be transferred from the old to the new coordinator.
3.1.3 The coordinator shall be informed or consulted in every
contact with the supplier.
3.2 T̲A̲S̲K̲S̲ ̲C̲O̲N̲C̲E̲R̲N̲I̲N̲G̲ ̲F̲O̲L̲L̲O̲W̲-̲U̲P̲
3.2.1 The coordinator maintains a complete file of all the
communication with the supplier.
3.2.2 The coordinator shall make a follow-up on all communication
to or from the supplier, even if the coordinator not
persoinally is the action}e on the letter or telex.
3.2.3 When a new contract is signed, the coordinator shall
fill out a schedule sheet describing all activities,
deliveries etc.
3.2.4 The coordinator shall update the schedule sheet at
least every month.
3.2.5 The coordinator shall fill out an order status form
(attached) and update it at least every month.
3.2.6 The coordinator shall make a follow-up on the contract
or the order at least every month.
3.2.7 At least every quarter of the year a status report
concerning the supplier shall be submitted. The status
report shall contain:
- an updated schedule
- an order status form
- problems overview (NCR, ECP)
- other open items.
The status report shall be submitted to the supplier
and be distributed internally. As the status report
is used to calculate work-in-progress and the CRAS'
financial status the report shall be dated 1/1, 1/4,
1/7, 1/10.
A draft status report is given in Annex A.
3.3 T̲A̲S̲K̲S̲ ̲C̲O̲N̲C̲E̲R̲N̲I̲N̲G̲ ̲M̲A̲N̲A̲G̲E̲M̲E̲N̲T̲ ̲O̲F̲ ̲S̲U̲P̲P̲L̲I̲E̲R̲
3.3.1 Changes in schedule influencing the project schedule
shall be coordinated with the project manager.
3.3.2 The coordinator shall in written form inform all concerned
parts internally about changes in the contract or in
the delivery schedule.
3.3.3 The coordinator shall monitor deliveries through freight
forwarders, CRAS reception, incoming inspection, incoming
test, repair if necessary , acceptance, QA-certificate
of conformance until delivery at stock.
3.3.4 As required take action to follow-up meetings with
the supplier. On the agenda shall at least be the status
report. The coordinator writes the minutes of meeting
and distributes them internally.
3.4 T̲A̲S̲K̲S̲ ̲C̲O̲N̲C̲E̲R̲N̲I̲N̲G̲ ̲P̲R̲O̲J̲E̲C̲T̲ ̲F̲I̲L̲E̲S̲
3.4.1 The coordinator is responsible for that the project
office has a copy of the signed contract. The original
contract shall be filed at CRAS legal department.
3.4.2 The coordinator is responsible for that communication
with the subcontractor is filed in the project office.
3.4.3 The coordinator is responsible for, that all documentation
is filed at configuration management.
3.4.4 The coordinator shall acknowledge the deliveries on
the invoices and return the invoice immediately to
the project office for filing.
